Time is one of the most precious resources to businesses today and one way to take better advantage of this is to implement some type of employee time management software. We all talk about getting more with less, yet we continue to do the same old things expecting different results. Time is one of those resources that once spent it is gone never to return.

So how do we get more from a constant source? After all a second is a second! A minute is a minute! An hour is an hour and so on until there is no more time available. It will continue to tick and tick away until it is gone forever. Although I am not going to sit here and recommend any one employee time management software in particular I will say that you need something to get your business day under control before you don’t have a business anymore to worry about!

Time management software will go deeper than just tomorrow…

Regarding how a good employee time management software system can help you manage your day boils down to prioritizing what is important from what isn’t. Too many times we start the day thinking that we have all the time in the world to complete what we need to do and before we know it we haven’t even come close to accomplishing anything at all. Some people, including myself, have thought that making a list the day before of what I really need to do tomorrow is a great and effective way to prioritize our day! I guess after applying this practice for a long time I would have to say “Hog Wash!”

Good employee time management software will go deeper than just tomorrow. It is more than just prioritizing a day or two, or even a week or month. Good business planning means that you have to separate what really matters from what doesn’t. What is going to keep your doors open and expanding your business from just surviving. Therefore, using software that will dig deeper into why you are doing something instead of just doing it. Not doing something because we have done it this way for ever. No we need to ask if what I’m doing is going to bring something back to the business.

An employee time management software system should be helping you to make better decisions about how you spend your time. After all anyone can set up and schedule for what you need to do tomorrow. Heck I don’t need some expense software or any system for that matter to help me just write out a schedule for tomorrow. I need a software or system that will help me make better decisions about how to spend my time. Better decision making is truly the key to good time management.

I am not suggesting that we should be rude…

So let’s talk about some of the everyday decisions that we make without giving much thought of whether it will pay dividends to our business. The conversations that we have on a daily basis must be questioned to know whether they are going to bring back returns to our business. I am not suggesting that we should be rude, but sitting and having lunch with someone that is not adding value should not happen. Calls we make should be focused on bringing value to our business. Conversations we have with our employees need to be focused on building our business. Again, I am not suggesting being rude to anyone. Just know what you need to accomplish and focus on that. An employee time management software system should be focused on that as well.

Employee time management software can also be used to help drive productivity for your staff as well. Are our employees being as productive as possible? After all labor is generally the most expensive part of any business. If you can find another thirty minutes to hour for each employee you have how much would that be worth to your business? My guess is with most reputable time management software systems you will find much more than this. It might be as simple as adjusting schedules. It might mean simply that you begin the day with a quick team meeting to prioritize everyone’s day by establishing a solid plan!

Allow your employees to establish deadlines and priorities themselves, and teach them only when they really needed it.

This is to be sure that your workers create items in their offices lives that will aid them in their time management skills that will change over time. Give them small jobs to do along with their work projects that will assist them in combining time management tricks and time management activities both in their office and in their daily lives. An employee that uses good time management ideas at home also uses it in the office, too.

There are several tips that you can use. One of the effective ways to find tips for an activity is to look on websites relating to time management or check out a book from your local library. Managing your time is critical and having workers that recognize the importance of time is vital to the success of your business. Another idea for such an activity is to source out short work-related projects that are non-critical but important and allow your team to learn through them.

Here is part 2 on effective time management with Napolean Hill and Ivy Lee.  This rounds out their approach to time management.  This is from the early 20th century, and is not some new-fangled technique.  I guess time remains the same as we move on (in our perception that is), so the strategies are really the same no matter what year it is (until we can step outside of our perception of time…  I guess that is how the masters manage their time…  They step outside of it…)  But for everyone else, we need the training wheels.  So here is the rest of the article.

The Simple Time Management Method

This simple idea encapsulates all of the ideas within entire books and courses. Often these materials while presenting good distinctions and enhancements that are of value – tend to obscure the basic idea that Lee presented. The person studying the concepts get caught up with quadrants, matrix’s, and complicated prioritizing schemes – they miss the basics, the part that makes the whole thing of value to start with.

If you are new to time management or have a system that has overwhelmed you drop back to the basics and begin to draw your own distinctions, create your own rules.

Lee gave Schwab a blank sheet of paper and told him..

  1. List the six most important things you have to do tomorrow.
  2. number them in order of importance
  3. Take the paper out tomorrow morning – start with 1 and stay with it until completed
  4. Only then go to 2 and repeat until the end of day. If you don’t finish you probably wouldn’t have finished anyway – when you realize this you know when to say no to a new task or give it to someone else.

So there is your simple time management seminar that Schwab voluntarily paid what would be the equivalent of $250,000 for today. In essence it incorporates all the items that you can read entire chapters of time management books to understand. You will figure out the parts about avoiding interruptions and all the minutia.

If you are one of the people with more to do than you can accomplish you really need to read Napoleon Hill and take his messages to heart whether it be on time management or another topic. It is not some huge mass of rules and materials to memorize rather it is a belief system that harnesses your subconscious mind and causes you to reach out to others and form what Hill calls a “Master Mind.” The Master Mind is a team working together for a common purpose. Maybe it’s you and your spouse or a best friend to begin, maybe its a group at work. Each of you with six things to do tomorrow. Each of you helping the other see the important things – which on some days might be just to leave it and go refresh so you can be more effective when you come back to it.
