you ever wonder how others manage to fit everything into their day – school, work, family, and friends? Maybe you’re not alone… Life is hard and becomes even harder as people develop into adults. This is why excellent time management skills are a must – especially for the adult learner!

The adult learner has many challenges they face every day from schooling, to work, to making sure they have enough time available in their day for friends and most importantly their family. Often times, the adult learner will give up and drop out of college because they cannot keep up with working long hours as well as the massive amount of school work from day to day – the average worker in America is working more hours than ever before. They often feel in order to support their family they have to let college go. A college degree is extremely important in this day and age; however, while attending college many adults realize that it does not pay the bills. This is unfortunate as many adults will fail to excel in their careers without the degree behind them. Life is hard – especially for the adult learner.

For those that push through and continue to work and attend school, they often find it is a daily struggle to keep their grades up so they can make the required satisfaction of progress. The adult learner in most cases does not have the advantage of staying at home as the younger learner may have so they can focus only on their education. This makes learning even more complicated for the adult learner.

It is especially hard when they have a family to care for and household responsibilities too. Many adult learners will feel they are neglecting their family and other obligations so they may choose to put their education on hold while their children are growing up. Their friends may not understand why they are unable to do the things they did before and their social life may struggle because of their schooling as well. All of these situations make it incredibly difficult for the adult learner. It becomes a balancing act to make sure they do not become overstressed, overworked, or overloaded – so how do they manage it all?

ToDoList has several good features that cannot easily found in commercial programs. The interface is intuitive. It supports hierarchical data. It can have numbered items and sub-items. It allows open file format such as xml and txt.

You can make as many lists as you want with ToDoList. You can add tasks and sub-tasks in the list. Each task has a pane in which you can write memo in rtf or txt. This is very useful because you can include various information for each task like memo, websites, and contacts.

Rememberthemilk

Web-based applications have become an established trend. Many websites exist that are dedicated to task management. Rememberthemilk is one the big players in the area of web-based task management.

It offers functions that are not available with desktop software. For example, you have notification through email and SMS. You can also collaborate with colleagues on the same list.

Checkvist

Checkvist, although a new web-based task manager, looks very promising. It offers very easy and intuitive interface.

It reminds of Bonsai, palm outliner, with its versatile uses. Just like the Palm program, Checkvist can be used as an outliner and task list thanks to the hierarchical format.

You add task with Enter key and sub-tasks with Shift-Enter. You cross a task as one with space bar. Simple enough.

Checkvist is a beta program but stable enough to handle many data. If functions such as due dates, data synchronization with desktop PC are added, it may become one of the best online task managers.

Our time is without question our most precious resource that we have available to us today. Unfortunately, far too many people take for granted this resource and as a result, are not very productive nor are they very effective in what they do.

While there are numerous strategies available to us today, in my opinion no one describes how to manage time better than author Stephen Covey. If you do not recognize his name, he is the author of the book “The 7 Habits Of Highly Effective People” and in this book, he describes a unique process on how to manage your time very effectively so that you can become productive.

To paraphrase some of his ideas from his book, one of the ideas to better manage your time is to describe your day and your time in a metaphor. Think of your day as a bowl which represents the 24 hours we have in a day.

Next visualize three big rocks which represent the most important things that you need to get done that day.

Next visualize a glass of sand which represents the less important things you need to get done in your day but still need to be completed.

Finally, visualize a glass of water which represents all the distractions you have in your life which happen each day.

As Stephen describes, in order for you to fill your bowl without it overflowing, you need to place these items in a very particular order. For example, if you were to place the sand and water in first and then tried to fit the rocks in last, the bowl would overflow and you would not have any room to fit the rocks in.

When we think about the lesson from this metaphor, it demonstrates to us that in order for us to become more effective, we need to “Put First Things First” and organize our day so that we always have the time to get our most important activities done first.

By forming this new habit of prioritizing our activities, you will find that you will start to become more effective and productive in each and every day.

Time Management Tips

You know that good time management skills can make a real difference in your productivity, but it can be hard to create the habits that you need to consistently implement those skills. There’s no need to get overwhelmed – you can master time management with a few consistent steps.

First, and perhaps the most important part of time management is keeping track of just what you need to do. This is where you need a list, or several lists. If you need to get something done, you need to have it written down. Writing down what you need to do frees you from having to think about it.

Why is that important? If you have to remember to do something it keeps surfacing in your mind over and over – even when you should be focused on something else. Your productivity for all tasks is reduced because your mind feels it’s important to keep interrupting what you’re doing to remind you of something else you need to do. If you write down what you need to do on your to-do list or on a sheet of paper in your inbox your mind knows that you’ll get back to that task.

Take things that you write down and put them on a master task list.

This brings us to the next time management principle. Put action steps on your task list. Don’t just write down that you need to work on “Project X.” Write down your next actual step for “Project X” such as “Call Jenn at 333-4444″ or “Write proposal.”

By doing this you look at your list and see exactly what you need to do. You don’t waste valuable time figuring out what step should come next. You’re able to jump right in and get to work.

Some time management experts argue that you don’t need to prioritize your work – that you should be able to look at your to-do list and know what is top priority and work on that. However, I find it works much better to add priorities. You can pull a few tasks from your master to-do list and add them to a daily list. Then prioritize them. This works because you know you don’t stop one task until you’ve completed it. It helps you stick with it.

A final tip to get you mastering time management is to reduce distractions. You can set up the most effective system in the world, but it still won’t work if you’re getting distracted every few minutes. Pick the next task on your to-do list and stick to that task. If you think of something else you need to do while you’re working write it down and put that paper out of the way – and out of your mind. Commit yourself to what you’re doing right now. Close your internet browser and chat windows if you need to. Route your calls straight to voicemail. Turn on some music and focus. Do whatever it takes to remove distraction and stick to your task until the end. You’ll find that you work much more quickly and more effectively.

Use these few principles to maximize your work and develop time management skills that truly bring you greater productivity. Your to-do lists will show you the difference, and you’ll be motivated to continue your new habits.

Priority management and task management are two sides of the same coin.  priority management is getting a good handle on which priorities are the most iportant to you and managing them is such a way that you are able to easily juggle them between other people if necessary.  This articel below discusses how to understand priority management at the basic level.  A great place to start for those that want to approach time management from a place that is more pragmatic.

If you have never prioritized your activities before, it is hard to know exactly where to start. When we focus on completing tasks, we tend to want to make everything on our list more urgent then it actually is. Start by every morning writing a list of everything that needs to be completed. At the end of the day, check your results against the list. Were you effective?

This very powerful list is you-the boss – directing you – the employee. Without a daily plan – directed with a purpose – nothing changes. Therefore, if it is your plan, your idea, your desire – write it down and track your results. You will become a great employee but an even better boss.

To make it easier for you to prioritize, I have used the ABC’s of prioritizing. This is a standard format utilized in most Time Management systems. It helps to ensure you focus and accomplish your high pay-off activities between the other details you are working to accomplish in a day.

If you do not accomplish an A priority, it will create financial loss, severe problems, or a loss of credibility. Consider these tasks as “have-to.” The activity must be completed within 1-3 days.

B Priority

These have little or no pressure attached. They are generally your “want to do” items. B priorities mean you have established the beginning of balance on your schedule and you are controlling the details. These are the tasks, which come from your Item’s To Do Journal and your Flight Plan Goal Setting Journal, if you are using the Strategic Self Management System. If you are a list maker, it would be those items from your list. B priorities should be done between 3-7 days.

C Priority

C items are the ones you have scheduled as “would like to do” if I have time available and so carry no urgency. Whether it is a favor, odd item, any task which can be done at your leisure, would be considered a C priority. This task can easily be accomplished 7+ days with no fear or loss of consequence.

The difficulty with establishing priorities is that we tend to want to make all items on our list an A. This can create an abundance of problems as, no matter how we look at it, we only have 24 hours in a day. All items you mark as an A are items you are absolutely committed to accomplishing for that day. These items carry stress because of the “have to” factor. Select them wisely.

You should consider A priorities as carrying a negative undertone because it should trigger to you that you are reacting to your environment and falling behind in the details. It represents potential problems and it should warn you it is time for a planning session as your tasks are getting in the way of your goals. If you find yourself having a difficult time deciding what priority to label an item, ask yourself, “What will be the result if I don’t do it today?” Think about the effect and decide from there.

B priorities are your action steps from your Flight Plan, your To Do List and your monthly priority list. These are the items you wanted to do, are committed to doing, and can accomplish on a timely basis. If you do not have either of these journals, you can easily create an ongoing electronic list or a regular notebook will do. You will want most of your priorities to remain B as often as possible as it means you are in control of your schedule and your life is in balance. You are pro-acting to your plan versus reacting to others. These tasks represent what you WANT. Understanding with realization if you accomplish these tasks, you will have achieved what YOU set out to do.

C priorities are items, which eventually you would like to get to if you have some time available. This could include reviewing advertising materials for marketing ideas. Looking at course flyers to see what skill based learning you may want to take. You may decide to read an article on a new product you are interested in adding to your current line. A business owner may decide to pick up their own mail because they have some time left in their day. C priorities have no consequences attached but if done can create ideas or increase skill based awareness. If a C is on hold – there are no consequences. They are just items you would like to accomplish – if you can.
