Book Review – “The 25 Best Time Management Tools & Techniques”

Friday, April 30th, 2010

Time management doesn’t change over time.  We all have the same amount of time now as  we did 100 years ago.  So really, the tools we would use wouldn’t really need to see much change over the years.  Maybe the difference would be in the software, or any specific field that is popular today that wasn’t even in existence 100 years ago.  So having said all of that, here is a book review of the 25 Best Time Management Tools and Techniques.  The book was written in 2005, but will still be valid only 5 years later.  Read on for more.

Rated as one of the top 20 time management books by Amazon, “The 25 Best Time Management Tools & Techniques” is a must for anyone that feels overwhelmed in their disorganization. Dodd and Sundheim give easy-to-read and easy-to-follow tools for creating quick results.

The book has sections: Focus, Plan, Organize, Take Action, and Learn. Each section gives simple steps to take. For example, in the Plan section, the authors point out that most people don’t plan because they have no time, already know what to do, don’t like to-do lists, or don’t know how to plan. Dodd and Sundheim say those are just excuses. Knowing that planning is a vital key, the authors lead the reader on creating a personal planning system, setting goals, planning backwards, and prioritizing.

Dodd and Sundheim founded Clarity Consulting in 2000 to combine their talents and passion for helping people be more effective at work. The company has offices in New York City and Orlando, Florida.

“The 25 Best Time Management Tools & Techniques,” published by Peak Performance Press in 2005, offers a simple solution to time management for everyone, either in the corporate world or in personal life. The Dodd and Sundheim’s compassion and understanding of time management come through with detail, organization, and leadership.

Time Management Activity – Improving Your Employees Productivity

Wednesday, April 28th, 2010

Improving the productivity of your employees isn’t always an easy thing to do if you don’t have the right tools or system.  One way to do this is to incorporate time management activities into their daily routine.  These activities can be monitored to see how much they are adding to the productivity of the employee or not.  In the following article, the author shares 2 time management activities that can be used with employees.  Read on for more.

One of the best ways to teach your office staff on how function their job properly and balance many quantities of work is using a time management activity. It can also bring the team together such as planning a group activity that will raise the team’s morale.

The reason is twofold, with one part of the activity will serve to teach your workers good tips for managing their work while the other part will tell people on how to work together while getting their work done. This activity can be just about anything that your employees need in order to learn to help each other as a team and learn to use their time more effectively.

Some offices report giving short projects that require planning, timing and intricate work patterns. Groups of employees are given such short projects to complete in a short amount of time. Therefore, time management skills has to come into play as the team must estimate time requirements, divide responsibilities, establish priorities and manage deadlines.

There is an activity that always works

Another tip for your staff is to plan a difficult assignment and rewards them with a prize or some time off from work. The assignment can not be something that can be done within a restricted timeframe – the objective is to help your staff establish their time management techniques through this activity over a period of several days. Allow your employees to establish deadlines and priorities themselves, and teach them only when they really needed it.

This is to be sure that your workers create items in their offices lives that will aid them in their time management skills that will change over time. Give them small jobs to do along with their work projects that will assist them in combining time management tricks and time management activities both in their office and in their daily lives. An employee that uses good time management ideas at home also uses it in the office, too.

There are several tips that you can use. One of the effective ways to find tips for an activity is to look on websites relating to time management or check out a book from your local library. Managing your time is critical and having workers that recognize the importance of time is vital to the success of your business. Another idea for such an activity is to source out short work-related projects that are non-critical but important and allow your team to learn through them.

Enhancing your business productivity is simply very easy in using various time management activity.

Time Management Software

Thursday, April 22nd, 2010

There are all kinds of tools, books, programs, and software that have been created to help people manage their time better.  These tools are targeted for different market segments as well such as nurses, students, business owners, executives, and more.  In this article, the author talks about time management software and what it can do.  This is only a snippet of the article because the entire article was huge and went all over the place, so  I have just included the pieces that talk about time management and then you can go to the site of the original article and read the rest of it.

….Time Management Software

To tell you the truth, there is some software that can help you in your goal of time management. Such software is pretty high-end software and can really help you master the trick of managing time, so that in the graph of success versus time, you keep going up the y-axis which measures success as time proceeds on the x-axis. Time management in today’s fast-paced environment is a resource per se that can help you do ‘business at the speed of thought’. Modern time management software trains you in such a way so that you can manage time beautifully, can work with clockwork precision. By forcing you to make a note of your meetings and appointments and by reminding you of your appointments when you forget about them, modern time management software ensures that you do not miss out any vital opportunities, however hard-pressed you may be for time. In the modern corporate world, every moment is crunch time. Even keeping abreast of each day can be a trial, can give you a trying time.

Time management software is designed using cutting-edge technology so that time management is a seamless affair. New-age time management software enables you to store names and particulars of people and places in it. Time management software also helps you to store valuable meeting agenda, minutes and summaries along with meeting or conference schedules so that you can refer to the software, anytime, anywhere for various professional and personal details. Unlike diaries in which you have to scribble in details, the pages of which are limited and may tear, time management software permits you to key in unlimited information and retrieve information from the software at the click of a mouse. You might thumb through diaries and still not find what you are looking for but if you just ask the software what you want, it will flash the right answer to you in no time. All you have to do with modern time management software is feed data into the software from time to time. Most time management software are platform independent too. Which means you do not have to lug the software around like you have to lug around your notebook or diary. You just have to sit before a laptop, PC or other device, which is connected to the Internet, in order to access the platform of the software. Once you access the software, getting to your personal account is a cakewalk.

Endless Advantages of Modern Time Management Software

Modern time management software has the added advantage of being tamperproof, failsafe. You can only log into your account with your Username and Password. Hence, your confidential information remains totally safeguarded from unauthorized access unless you make the mistake of revealing your Password to people. Additionally, modern time management software helps you to network professionally and socially with others. If you are planning a meeting shortly, you can get in touch instantly with your coworkers, who may be situated miles away, through the platform of the software, so that all of you can fix the meeting date. For tasks that require a consensus and which you cannot do at your sole discretion, professional and instantaneous networking is the only answer, if the tasks have to be executed in good time. Or else, you shall have to wait for days for your colleagues to return from their trips abroad, just so that they can agree or disagree to a particular meeting schedule. It is the same with party dates. If you can fix the date and time of a party, send out party invitations, discuss with your friends the theme of the party by simply keying in data on a keyboard, I can promise that you shall have a whale of a time at the party.

Modern time management software is so smart that it will help you carry out whole processes such as meeting planning and management, event planning and management, and daily life planning and management, through it and thus help you save lots of time. Smart time management software can transform you into a big time entrepreneur from a small time businessperson. Authentic time management software can change hard times to great and memorable times and can really help you have a good time. As such software has been around for quite some time now, you can say that it is time tested.

Time management software is also extremely state-of-the-art. In order to keep up with the times, ace time management software is even cell phone compatible. Which means that if you have the time management software integrated into your mobile or handheld device, you will receive meeting alerts, agenda alerts, and other alerts via your cell phone or handheld device. You will also be able to log into your software account from your cell phone and use the software in a full-fledged manner just like you would use it from a PC or a laptop…..

Time Management Techniques In Business – Party Like a Rock Star

Tuesday, April 20th, 2010

This article “Business Time Management – How to Party Like a Rock Star and Still Have Time For Your Business” brings up some interesting points….  I am currently listening to the CD series “Your wish is your command” and one of the things it says is that if you believe it will take 20 hours of work a day to be successful, then that is what you will create for yourself.  I found this quite intriguing because those that are successful in business and can party like a rock star have a different belief set.  Maybe it’s time to really look at our belief systems.

Often times, particularly when you are an entrepreneur, you end up being a slave to your business. Typically, by the time a client comes to me for help, it has become a time consuming Albatross hanging around your neck. However, smart business owners have an “ace in the hole” when it comes to effective time management and having a “life”and a business, at the same time.

When an entrepreneur is starting a business, particularly an online business, they try to perform all the functions of the business themselves. This is normal and natural. When a business is small, and just starting, frequently one individual can handle all the tasks.

The problems arise as the business grows and becomes more involved and complicated. Many business owners still try and handle all the activities themselves. This creates a very tiring, stressful, and potentially damaging situation. Generally, in trying to do everything, the owner is forced to work LONG hours. In addition, many of the tasks that are important to the business, are either left undone, or are done ineffectively.

So, what is the solution to effective business time management?

The solution to handling a growing business is to delegate some of the activities to others. These functions could be delegated to additional employees, or independent contractors. The key is to identify which activities to delegate. Generally, the owner should continue the activities that are crucial to the core success of the business.

Less essential activities, which can often be time consuming, should be delegated to others. However, and this is CRUCIAL, the owner MUST take the required time to train the individual properly.

Too often, the owner will “whisk” the individual into the position without adequate training. An improperly trained worker is often WORSE than no worker at all! On the other hand, properly trained help can free up time for the owner to spend more time on crucial aspects of running the business, as well as allowing time for friends, family, and fun!

10 Time Management Tips For Small Businesses

Saturday, April 17th, 2010

If there is any group that can benefit from time management, it is the small business owner.  These entrepreneurs are constantly doing many things at once….  some of them are doing more than one business.  As a result, it is imperative that these business owners have a handle on their time management skills.  This small business time management article gives 10 tips that business owners can use to increase their efficiency and productivity.

“Just as a well-run business follows a budget in spending money, an effective business person should also follow a budget (or schedule) in spending time.”

Being a business owner myself, I wish I had more hours in my day. But time is always getting away from me, you know how it goes. Come into the office around 9 o’ clock and you check your email, voicemail, start looking over your planner to see what needs to be accomplished today and BOOM before you know it, it’s time for lunch. I have found these 10 tips to put time back into my day and I hope these will work for you as well.

1. Recognize you can do it all
We are only given 24 hours in a day. Time doesn’t change. Realize we can only manage ourselves and what we do with that time.

2. Figure out your time- wasters
We all fall victim to time wasters- Do you spend too much time surfing the net, reading email, making calls? By tracking these you can get a picture of what you REALLY do during your day.

3. Set time limits for all tasks
Once you have figured out what your time wasters are then set a limit to complete them and stick to it.

4. Develop routines and stick to them
You will be much more productive if you can follow these routines as much as possible.

5. Learn to Delegate
Delegation is hard for most business owners, but this skill is critical for businesses to succeed. You have to make this a priority if you’re going to do what you want to do and stay sane and happy.

6. Take advantage of “down-time”
Allow yourself some “down-time” between busy periods to look over your planner and reevaluate your priorities.

7. Stay Organized
Take time at the end of each day to organize your desk, inbox and emails. By doing so when you coming in the morning your desk will be clean. You will know what tasks need to be completed first and what emails to respond to.

8. Use the 80/20 Rule
The 80/20 rule is “80% of your success comes from 20% of your efforts.” So as a small business owner you will want to figure out where YOUR most profitable 20% is and spend the majority of your time there.

9. Keep your “to-do” list short
Have no more that eight items on your list. Remember this is a “daily” to – do list, as you complete tasks check them off and you will have a feeling of accomplishment.

10. Have you hired a Virtual Assistant?
My number one tip for small business owners is to partner with a Virtual Assistant. There are a number of administrative tasks that a VA can take care of for you on an ongoing basis so you, the business owner can spend more time with clients.

Wise Virtual Solutions is a top notch virtual assistant firm that aims to help busy business owners worldwide reduce stress while saving you time and money. We offer online support and social media assistance.

Napoleon Hill and Ivy Lee on Effective Time Management – Part 2

Thursday, April 15th, 2010

Here is part 2 on effective time management with Napolean Hill and Ivy Lee.  This rounds out their approach to time management.  This is from the early 20th century, and is not some new-fangled technique.  I guess time remains the same as we move on (in our perception that is), so the strategies are really the same no matter what year it is (until we can step outside of our perception of time…  I guess that is how the masters manage their time…  They step outside of it…)  But for everyone else, we need the training wheels.  So here is the rest of the article.

American self-help writer Napoleon Hill (1883-...
Napolean Hill  via Wikipedia

The Simple Time Management Method

This simple idea encapsulates all of the ideas within entire books and courses. Often these materials while presenting good distinctions and enhancements that are of value – tend to obscure the basic idea that Lee presented. The person studying the concepts get caught up with quadrants, matrix’s, and complicated prioritizing schemes – they miss the basics, the part that makes the whole thing of value to start with.

If you are new to time management or have a system that has overwhelmed you drop back to the basics and begin to draw your own distinctions, create your own rules.

Lee gave Schwab a blank sheet of paper and told him..

  1. List the six most important things you have to do tomorrow.
  2. number them in order of importance
  3. Take the paper out tomorrow morning – start with 1 and stay with it until completed
  4. Only then go to 2 and repeat until the end of day. If you don’t finish you probably wouldn’t have finished anyway – when you realize this you know when to say no to a new task or give it to someone else.

So there is your simple time management seminar that Schwab voluntarily paid what would be the equivalent of $250,000 for today. In essence it incorporates all the items that you can read entire chapters of time management books to understand. You will figure out the parts about avoiding interruptions and all the minutia.

If you are one of the people with more to do than you can accomplish you really need to read Napoleon Hill and take his messages to heart whether it be on time management or another topic. It is not some huge mass of rules and materials to memorize rather it is a belief system that harnesses your subconscious mind and causes you to reach out to others and form what Hill calls a “Master Mind.” The Master Mind is a team working together for a common purpose. Maybe it’s you and your spouse or a best friend to begin, maybe its a group at work. Each of you with six things to do tomorrow. Each of you helping the other see the important things – which on some days might be just to leave it and go refresh so you can be more effective when you come back to it.

That’s it for Google search result 227,000,001 Napoleon Hill and Ivy Lee’s time management tools; and make no mistake time management is one of the biggest success principles of all time.

Napoleon Hill and Ivy Lee on Effective Time Management – Part 1

Tuesday, April 13th, 2010

This is a good multi-part article on time management from the viewpoint of Napoleon Hill and Ivy Lee.  In the article, you can get an idea of what time management systems are, and how to ease into time management.  Most people jump in with both feet before they get a chance to really acclimate themselves to the new system.  Read on to this great advice on time management and how to incorporate a system that will work for you.  Part to is coming up in a later post.

Time management has become a huge business these days. Many companies offer great time management tools to manage your day and to make you more productive. Google returns 227,000,000 pages in response to a query on the subject of time management; now with this article: Google search result 227,000,001 and even more by the time you read it. In the early part of the last Century Ivy Lee gave Charles Schwab one of the most effective time management tips of all time.

Time Management Systems

Whole books, seminars and courses have been made on time management – you can easily spend thousands of dollars on this topic trying to get the latest edge to learn the latest time management skills. I usually get a headache and my eyes glaze over as I dig into these things.

Much of this information and these time management systems are good but as Solomon said, in Ecclesiastes, about things of the world: “everything is meaningless… they are vanity and vexation of the spirit.” This is truly what time management systems can become. Our society is obsessed with the idea of wringing out the last ounce of time – to the point of it being counter-productive. Trying to wring productivity out of your time is an important aspiration, time management is one of the keys to success, and time is the one commodity in your life that you cannot add to, you can only make it’s use more efficient.

Many people who seek to maximize their time get planners, or electronic devices with planners built in and often – they wind up feeling like a slave to the systems they buy – these systems causing more stress instead of being the stress reliever they are intended to be. They wind up trying to schedule too much or perhaps an element of procrastination has crept in and items keep moving from one date to the next and stacking up. The planner becomes like an old friend they have made promises too and yet have not fulfilled them. After a while they begin to avoid the planner and it winds up in the drawer and they come back to a simple appointment calender.

Ease Into Time Management

My advice is to ease into time management. There are great dividends to be earned with your time management activities but putting one of the systems on. But putting the whole uniform on all at once and keeping the buttons polished when you are used to running free and naked (in a time sense) is likely to lead to your rebellion and casting it off within a few months.

Start off easily: Napoleon Hill writes of Ivy Lee, who is considered the father of modern public relations, Lee was doing some work for Charles Schwab the head of Bethlehem Steel. Schwab told Lee that the biggest problem he had was making his managers more effective – helping them better utilize their time. Lee handed Schwab a blank sheet of paper and told him that with in a few minutes he could give him the solution. Schwab agreed to try the system out for a few weeks and then send Lee a check for what he thought the idea was worth.

Lee advised Schwab to have his managers, at the end of the day, to list their top six priorities for tomorrow. Then they should number 1 to 6 according to how important that task was. On the next day take the tasks in the priority order, not proceeding until a task was completed. In a couple of weeks Schwab sent Lee a check for $25,000 as the value of the idea – and this was in the 1920′s.

Some Time Management Strategies Students Can Use

Sunday, April 11th, 2010

This is an average article about time management for students.  This article gives you some tips, but you could have more tips like focusing on priority management…  That is where you are going to save your time.  Organizational management is where you are going to get more time as well.   The more organized you are, the less time you spend on looking for stuff.  It is very important to know more than just how to do things faster and more efficiently.  At any result, take a read of the article and determine if you can use any of these strategies.

In the school we learn many things: languages, mathematics, biology, chemistry; the next step after school is college, and the load of homework and knowledge just increases exponentially. If we don’t have good strategies to effectively manage our time, in no time we will run out of time and will be inside a cycle of stress and anxiety.

The bad thing about the current education format in many parts of the World, is that we as students, don’t get education on how to properly manage our time. And what is worse, we are getting bombarded with assignments and projects, so we never get the time to reflect about this issue.

If you are a student and you are reading this article, you are very steps ahead the majority of students around the World. At least I take for granted that you know there are some effective ways to manage your time during this phase in life. Most people just continue with useless time management tactics and they carry on the ignorance to their adult life, living a life of stress and deadlines.

Three of the basic time management strategies every student must integrate in their life are: planning, prioritizing and focusing.

Planning is the first step. You can start very basic with just a notebook and a pen. At the very start of your day, jot down your to do list for the day. If you are making big task, break it down in steps and put some of these smaller steps as part of your day.

The second step is to prioritize. When you are coupling time management and studying, you’ll have to know which ones are the tasks that are truly important and put them first on the list. Experts recommend doing the task that is more time consuming and boring first. This way you’ll be mentally freer the rest of the day!

Finally, you’ll need to focus. During teenage years this can be pretty hard. Text messages, IM, calls, they all contribute to losing focus. However when the time comes to do what we have to do, focusing will have to be exercised. Turn down all elements that distract you and get to the task at hand!

The Kinds of Time Management Games You Can Play without Wasting Your Time

Friday, April 9th, 2010

While this article doesn’t mention specific time management games, it does give you an idea on what kinds of games you should be looking for that will also add value and actually save time as well.  There are a number of different games you can get, but if you are wanting to get a number of people involved to train them on specific time management, then it is important to get them involved in a way that will benefit everyone, because then, you will be wasting a lot of time.  So you can read the article and get an idea of what to put into the search engine to find specific time management games.  Read on for more.

Time management games are a great way to teach and learn about using your time more wisely and more productively. You can make up your own games, or you can use some of the following simple ideas to get you started.

First off, time management games need to be interesting, appropriate for your environment or setting, and most of all, not just a waste of time or a way to spend time thinking you are going to help yourself later on down the line.

All too often time management exercises and games are fun and interesting, but end up just taking time away from being productive.

Competitive time games are the best route. When there is at least a little something on the line, even if it’s just the joy of knowing you are better, getting better, or the thrill of victory, the challenge becomes more interesting, more involving, and will draw out better results because it is a competition.

You can set these up for several staff members to compete against each other, or in teams, or against other departments. The great thing about these games too is that you can play against yourself much the same as you do with many other kinds of games.

Set up a task and have the individuals or teams create a time chart listing the tasks and the times necessary for successful completion. You can compare the schedules for the best ones, and carry it a step further by having each team or competitor take their list and then try to “prove” their strategy works.

You can also check out many of the software games available for personal computers. Also many of the more popular games have now been made available for PDA’s so you can play, well, wherever you are and when you have… time!
