a day, and the more responsibilities you have, the more you need to be able to accomplish in that same amount of time.  Creating good Time management skills is essential to being able to manage more and become more efficient.  Read on for more on the kinds of skills that executives need in their time management and task management to be successful.

 

What is the greatest time draining activity in which executives participate? Golfing? Tennis? Drinks with clients? Nope! It is the never ending stream of never limited meetings. Sometimes there are meetings to plan the next meeting. Meetings that are unorganized and unproductive are a complete waste of time.

The following are a few good time management skills for executives to help eliminate the stream of meetings and create an unstoppable productive workforce:

Trust — Hire people with a proven track record of getting things done and done well. Sure, if your buddy from high school is a powerhouse, hire him, but if your son-in-law can’t be trusted with a company credit card, don’t’ hire him.

Communicate — Create a method of communication that is clear, that is to the point, and that can be accomplished without a meeting such as a Wiki or project management system. Communicate through the message board on the wiki or project management system instead of in person and at meetings. This will avoid the general chit-chat that can happen during in person or telephone calls.

Responsibility — Create deadlines that are unambiguous, with time-sensitive tasks to be accomplished along the way and hold those responsible accountable. Rewarding time well spent is more important than punishing people who are late or underperform. Punishment and guilt only work when those you’ve hired care about their work and the company bottom line. So place your emphasis on the behavior you desire rather than spend time dealing with behaviors you don’t help your company bottom line.

Teamwork — Create an environment that values teamwork and mutual respect by allowing team members to work together without your oversight or permission. By encouraging team members to share valuable information openly about any project, you will create a strong team that will produce high-quality work.

Respect — If you have hired the right people for the job, let them do the job you hired them to do. Consider managing by exception than by micromanagement techniques. Micromanagement is another example of a time waster. It is fine during meetings and on the project management system to question each other about the why, what, who, and by when – but only when it is done with respect and for the purpose of bringing out the best in everyone. The best workforce effort will always improve the company bottom line.

Cooperation — Ask for help keeping meetings on track by agreeing to stick to a written and focused agenda before each meeting. Put the agenda on the project management system or Wiki for each member of the team to add to before the meeting. Do not allow last-minute additions during the meeting.

Remove barriers — Too often executives insulate themselves from the people most valuable to the company bottom line; the workforce. Obviously, you can’t have an open-door policy for everyone all the time, but you can do three things: create operational procedures that allow the workforce an opportunity to air complaints, contribute to the bottom line, and feel you care about them. You can show you care through rewards systems, high visibility at company gatherings, and regular visits to the production line. By putting in place the “care factor,” people will perform their best because they feel they are cared for, known, and heard.

As an executive, when you implement these kinds of time-saving strategies, you create an environment where everyone can be at their productive bests. Everyone will feel less stress because expectations are clear, a communication and calendaring system is in place, and the workforce will know there is a connection between you and them, beyond just the bottom line.

This is a continuation of the previous article on time management and leadership.

(Can This Moment Become) Quantity Time?

  1. Is it substantial? [is there substance, meaning or fulfillment in this use of my time?]
  2. Is it concrete? [producing a specific, tangible, measurable, realistic, attainable result from the use of my time]
  3. Is it clear? [does it help me be or become more focused, intentional, results-driven, practical]

Or you could use dimensionally-oriented questions to determine, implement and supervise your applications of business leadership significance. As we mentioned earlier, time can be measured against a location – that is, time and a location in space are always related – so we say, “you are always somewhere at some specific point of time!”

In the social expanse known as “space-time”, you’ll discover how dimensional constructions usually hold true. Social dimensions include the scope, importance, direction, magnitude, definition, quantity, aspect, extent, element, a position, attribute, property or proportion of any social activity.

Dimensional characteristics are important because they provide insights into the breadth, depth, thickness and heights of your utilization of time – are your capital assets being transformed into something tangibly significant, are your human players moving together in harmony, are the reasons for pursuing this action realizing the desired results?

Therefore, you will need to ask the following types of questions to generate the right types of dimensionally important answers and thus understand how well or how effectively you are using your time for performing your business or organizational leadership tasks:

  • Where-When: describes a physically obvious, tangible reality of an event without trying to explain any aspect of human, social or physical capital involvement or influences;
  • Who-What: defines and describes the moving parts, functional attributes and players of human exchanges, transactions, interactions or reactions
  • Why-How: endeavors to provide causes or reasons for human actions and seeks to identify the ways and means employed to satisfy or attain the desires for taking those actions

We can easily describe the process of how and when to take action to use the extant sources and depth of information, which are what you have, to help you become what you desire, to unleash the future envisioned by what your dreams have awakened within you, and prosecute your strategy for business leadership to the ultimate extent of your resources, expertise and abilities.

However, in essence, we must look at each and every one of our competitive, operational and developmental efforts as activities taking place within, and, as actions existing at points along, positions within or locations of “space-time” – that is, using these reference placements to indicate, investigate or interrogate the:

  1. Manifold – Which diverse, variety and many features of my actions…?
  2. Affect or Add-to the Dimensionality – the ins and outs, ups and downs, across and around, over and under, back and forth, breadth and length, brokenness and wholeness, heights and depths – of our efforts…?
  3. Time-frame – When will or When must the intervals, periods, moments, phases, ages, eons, ticks occur and…?
  4. Relativistic – How or How much does it relate to our past, present or future perspectives…?
  5. Who benefits or is impacted by the Attractions, Interactions, Transactions or Reactions of our informed actions – and Why will they be…?

Thus in the realm of social phenomena, we define “space-time” as the distinctive features and structural dimensions which identify the cognitive, cultural or emotive segments of perspectives and interactions involved when we act, acted or will take action.

Therefore, business leadership means incorporating the “physics” of socially-oriented space-time into the creation and application of a much more effective time management program to generate profitable results and strategic innovative opportunities while it strengthens your organizational leadership development programs and performance improvement efforts.

Effective leadership requires effective time management habits.  It is important to focus on the tasks that truly move projects and goals forward, instead of the tasks that don’t really make much of a difference.  This article talks about some of the time management practices and concepts that are needed for leaders to be effective at managing their teams.  Read on in this 2 part article for more!

 

A strategic way to boost your business leadership results, along with its profits, productivity and growth is through effective time management practices. Because time, as it is in any profession, is a critical resource in making business leadership actions profitable, innovative and transformative.

Before we continue, you need to appreciate this important fact about business leadership – whether we’re talking about market, innovative, strategic, situational, transformational, project or organizational leadership – leadership in any form is always a social activity.

So with that understanding, we can look at business leadership in three generic ways: as market leadership, organizational leadership and human capital leadership.

In business organizations, entrepreneurs may choose to invest their time in human capital related leadership activities, that is in leading, coaching or soliciting and recruiting the support of their associates and trading partners.

Entrepreneurial leaders also have opportunities to use their time to contribute to the quality, quantity or significance of life for their customers and clients. I call these actions a form of market leadership.

Business leadership tasks demand that leaders analyze, plan and re-order their budgets, cash flows, operational systems or their schedules, where their sole objective is to manage their time as profitably, effectively and creatively as possible. We can call these activities organizational leadership.

A fact-of-life for those professionals charged with business leadership responsibilities – which includes the executives, entrepreneurs and managers – they will usually encounter the most disruptions, interruptions or other forms of distractions to their scheduled activities. Unfortunately in the face of that reality, these business leadership personnel tend to immediately discount, ignore or underestimate the potential value in those unanticipated events.

If you ever hope to become an effective leader you should never focus your attention on the management of accomplishing tasks against a daily allotment of your time, you should however concentrate your energies on the management or maximizing the allocations of your significance.

We know that being effective means doing the right things. We also know that being efficient is doing things the right way. Are you doing the “right things” or are you doing things “the right way”?

The problem with the focus of most time management strategies is this, we are told to be efficient in our use of time, that is, we’re taught that the right way of doing time management is to plot whichever tasks we feel or believe we need to accomplish in a certain amount of time segments.

And in the case of business leadership, the right things for your usage of time must be based upon your contributions of quality, quantity or the value of your significance.

In a word, your contributions have to be acts that you take for the purpose of being of benefit to all the actors, artifacts or artifices, attributes and audiences engaged in your social activity. On the other hand, your significance must add a form of excellence, emphasis, essence, elevation, eminence, effectiveness, efficacy, efficiency, execution, elucidation, explanation, exposition, expression or esteem to your actions.

I advise my business leadership clients to keep strategic questions in mind whenever they engage in any activity. I call these mini-evaluations strategic because being strategic means being decisive, deliberate and dexterous – meaning leaders who wish to be strategic thinkers or questioners have to think through, think about and think with their actions, don’t they?

The purpose of those questions isn’t to generate answers consisting of one-word or a single idea. And leaders shouldn’t use these questions to judge a moment-in-time as being either significant or worthless. Rather than making those types of value judgments, these questions should ensure you have competent, strategic responses prepared, organized and ready to go in advance, so that you can optimize, leverage or otherwise make the best use of those planned-for or unplanned-for periods of time.

Here is one set of example questions you could ask to help you make more effective use of your time, regardless of any interruption, or unexpected or distracting event.

  • Is it pure? [resulting in no distractions, disruptions, delays from your goals or mission]
  • Is it sweet? [warm, refreshing and enjoyable experience or environment or forum or venue]
  • Is it absolute? [secure, or obligated to my relationship, or persuasive or memorable]

Success can be determined by how well you have achieved your goals.  Since we all live in a physical world determined by space and time, we all realize that the time to create our goals and dreams is constricted by time.  We all have the same 24 hours in a day….  So what makes some of us more successful than others?  A big portion is our use of time.  Read on for how to manage your time better.

We are all so busy these days that it seems we are doing so many things and I for one realize that I’m not performing as well as I would like. Do you feel the same?

There are so many responsibilities on a day to day basis that I often wonder if I’m going to be able to accomplish all the tasks I have in front of me. Those feelings of overwhelm have become a familiar friend. With all the stress in my life I had to find a new way of working. A new plan that would help me not only stay on task but also be able to accomplish them in a timely manner.

The solution: a good time management system. Let’s face it there are tons of different time management systems out there. Some work for a while and some don’t ever work. If I’m going to use a time management system then I have to use one that I know will work for me.

The first step was to sit down and come up with a plan that would work for me on a day to day basis, but could be flexible with my busy life.

Here are the steps that I followed to put my plan in place:

  1. Target: I first had to come up with a target regarding the tasks that needed to be completed and how much time I had in order to get them done. Some jobs are ongoing but other jobs have a completion date.
  2. Planning: This part is very important because I had to decide how much time each job was going to take, when it needed to be completed, or if it was an ongoing job so I would schedule time to work on the task.
  3. Prioritize: Another important part in figuring out my time management plan. Some of the tasks I perform are urgent or have a completion that has to be met. I know this is going to be an ongoing challenge as new tasks come up but if I keep my time management plan handy I can make changes as I go along.
  4. Schedule: One of the benefits of having an effective time management plan is being able to schedule my time. One thing I started doing was to put in not only tasks for my job but also events that occur in my personal life. For instance, I now have a time slotted for when I go to the gym and when I have lunch or dinner with certain friends.

It turned out that putting together a time management plan wasn’t all that difficult once I sat down and took a look at all the task and events I have in my life. Everything is now in one place on a calendar that I put together on my computer. It can be changed as I go along and I can print it out to take with me so I have it in case I need to add something to the plan.

Time is one of the most precious resources to businesses today and one way to take better advantage of this is to implement some type of employee time management software. We all talk about getting more with less, yet we continue to do the same old things expecting different results. Time is one of those resources that once spent it is gone never to return.

So how do we get more from a constant source? After all a second is a second! A minute is a minute! An hour is an hour and so on until there is no more time available. It will continue to tick and tick away until it is gone forever. Although I am not going to sit here and recommend any one employee time management software in particular I will say that you need something to get your business day under control before you don’t have a business anymore to worry about!

Time management software will go deeper than just tomorrow…

Regarding how a good employee time management software system can help you manage your day boils down to prioritizing what is important from what isn’t. Too many times we start the day thinking that we have all the time in the world to complete what we need to do and before we know it we haven’t even come close to accomplishing anything at all. Some people, including myself, have thought that making a list the day before of what I really need to do tomorrow is a great and effective way to prioritize our day! I guess after applying this practice for a long time I would have to say “Hog Wash!”

Good employee time management software will go deeper than just tomorrow. It is more than just prioritizing a day or two, or even a week or month. Good business planning means that you have to separate what really matters from what doesn’t. What is going to keep your doors open and expanding your business from just surviving. Therefore, using software that will dig deeper into why you are doing something instead of just doing it. Not doing something because we have done it this way for ever. No we need to ask if what I’m doing is going to bring something back to the business.

An employee time management software system should be helping you to make better decisions about how you spend your time. After all anyone can set up and schedule for what you need to do tomorrow. Heck I don’t need some expense software or any system for that matter to help me just write out a schedule for tomorrow. I need a software or system that will help me make better decisions about how to spend my time. Better decision making is truly the key to good time management.

I am not suggesting that we should be rude…

So let’s talk about some of the everyday decisions that we make without giving much thought of whether it will pay dividends to our business. The conversations that we have on a daily basis must be questioned to know whether they are going to bring back returns to our business. I am not suggesting that we should be rude, but sitting and having lunch with someone that is not adding value should not happen. Calls we make should be focused on bringing value to our business. Conversations we have with our employees need to be focused on building our business. Again, I am not suggesting being rude to anyone. Just know what you need to accomplish and focus on that. An employee time management software system should be focused on that as well.

Employee time management software can also be used to help drive productivity for your staff as well. Are our employees being as productive as possible? After all labor is generally the most expensive part of any business. If you can find another thirty minutes to hour for each employee you have how much would that be worth to your business? My guess is with most reputable time management software systems you will find much more than this. It might be as simple as adjusting schedules. It might mean simply that you begin the day with a quick team meeting to prioritize everyone’s day by establishing a solid plan!

Tasks should be scheduled in chronological order in order to eliminate going back and forth doing it. Allot a day in a week to schedule meetings. Allot time for answering queries from members and colleagues and inform them about it. Allot a few hours of free time which serves as contingency. Allot time in a week for reviewing tasks completed and plan for the next week’s agenda.

Time management in the workplace is crucial in the success or failure of a project or a leader. Analyzing and planning time is just the beginning. A project manager should follow the plan and learn how to deal with tasks that is not on schedule. A project manager can use a project management software to schedule and manage his/her time.

You’re looking to make changes in how your company manages time and projects. But how will you manage to implement those changes? Making changes in your time management system can be a challenge and could include a multitude of questions. There are many considerations; after all, it isn’t just about you but equally about those that work with you. Store B continued to thrive, always offering the freshest product to their customers, cheerful employees that knew what was expected of them, and a store that seemed to carry just what the customer wanted.

Store B had a system for project management, time management and business management. Store B excelled to become a huge grocery store chain, where store A threw in the towel and locked their doors for the final time. The moral of the story is you need to have a system to manage your numbers. How good that system is will dictate the progress of your company. Time is plainly hard to manage for a lot of people because of numerous distractions that keep them from being productive. In order to have effective time management, you need to have tools that will hopefully keep you on track and allow you to finish things that need to be done.

There are various time management tools that can be used if you want to change your bad time management habits. The most common is the pen-and-paper combination. In the world of MacBooks and Blackberry phones, carrying pen and paper around may seem ridiculous, but it really is not. Of course, gadgets are awesome but the thing is they run out of battery. Pen and paper, on the other hand, don’t. Plus, the pen and paper can easily be pocketed. And compared to pricey gadgets, no one really steals pen and paper.

Using pen and paper as your daily planner will enable you to keep tabs of anything you feel is important. These vital tools will keep your thoughts organized and will help you develop the habit of jotting things down that will eventually help you to be a better worker.

Paper will be forever reliable especially if it is in the form of sticky notes and post-it. This particular time management tools are highly effective especially if you strategically post them on an area that you actually see all the time. If you practically live in front of your computer, posting the notes on your monitor will be a great idea. You can also have sticky notes on your bedroom wall, refrigerator door or even on the cover of your favorite book.

Another tool people could use is the ever reliable planner (or organizer). Now, this is also considered “pen and paper” combination but unlike the aforementioned tools, planners are more organized and detailed. This can also be the tool where you can input the tasks that you’ve accomplished so far.

The planner can also be a constant reminder of special occasions in your life. You can easily keep tabs on your loved-ones’ birthdays, anniversaries and any other events important to your life. This way, you won’t be caught off-guard and no one in the family will be mad at you for not remembering his/her birthday.

It may sound funny or a little bit bordering OCD but having a back-up planner is another wise technique to manage your time properly. You can have one at home and one at the office. And both must be updated. If you think this is too much, you can just have your planner and your smart phone as a back-up.

The last and certainly the most important time management tools there is your health. This may seem strange to others (and perhaps to you as well) but you have to keep in mind that your body is the one that enables you to do your work. Without it, all the “ridiculous” planning and strategies to manage your time will be futile. Take care of your body for you to have enough energy to really get things done.

Many people experience increased stress due to having more tasks to accomplish than they can handle. Just the pressure of such a workload can increase stress. One way to lessen this high level of health jeopardizing stress is to take charge of your work load and your life to put things in perspective. Implementing the tips below can have the added benefit of actually getting more done!

1. Identify how your time is currently spent. Keep a journal for a few days or a week to see what type of tasks you do, how much time they take and to identify activities that take up too much time or ones that are non-productive.

2. Set goals and prioritize. Decide what is really important and what needs to be done NOW. Always ask yourself if what you are doing is getting you closer to your goal.

3. Keep a calendar handy and make a habit of using it. Write down your appointments and other important obligations. We are all guilty of overlooking or forgetting things because we didn’t write them down thinking there is no way we would forget.

4. Avoid distractions. Set yourself up for success by avoiding the activities you identified that were taking up too much time. It is OK to still do them, just be sure you monitor how much time you spend. You might start by scheduling it in so you know you will get a chance to watch your favorite show for example, and not end up wasting the entire evening.

5. Break tasks up into smaller steps. Start small and build yourself and your time management skills up in a positive way. Every step you accomplish is a reason for celebration, and by having parts of a larger task done ahead of time you will find the last minute rush to completion is much easier and less stressful.
